Position Summary

The Specialist of the Registrar’s and Academic Affairs Office supports the administration of academic processes and student lifecycle management in accordance with institutional policies and the regulations of the Ministry of Higher Education, Science and Innovation of the Republic of Uzbekistan.

This role ensures accurate maintenance of student records, coordination of academic operations, and effective support to students, faculty, and administrative units.

Job Requirements:

Education

  • Bachelor’s degree in Education, Management, Public Administration, or related field

Experience

  • Experience in higher education administration is preferred

  • Familiarity with HEMIS or similar academic information systems is an advantage

Duties and Responsibilities:

Admissions & Enrollment Support

  • Assist in the processing of student applications and admission documentation
  • Verify applicant records and eligibility requirements
  • Support enrollment, registration, and student onboarding processes
  • Maintain admission records and related databases

Student Records Management

  • Maintain accurate and up-to-date student academic records
  • Process changes in student status (transfer, deferment, withdrawal, leave of absence)
  • Ensure confidentiality and security of student information
  • Update records in HEMIS and other institutional systems

Academic Operations Support

  • Assist in course registration and timetable coordination
  • Support examination scheduling and grade processing
  • Monitor student academic status and compliance with regulations
  • Coordinate with faculties regarding academic matters

Documentation & Certification

  • Prepare official student documents (enrollment letters, transcripts, certificates)
  • Process requests for academic records and verification
  • Support graduation clearance and degree preparation processes

Reporting & Compliance

  • Compile academic data and statistical reports
  • Ensure compliance with institutional policies and Ministry regulations
  • Assist in audits, inspections, and accreditation activities

Student & Faculty Support

  • Provide administrative support to students and faculty members
  • Respond to inquiries related to academic procedures
  • Facilitate communication between departments and units
